Giving permission to other users to 'Enter expenses on behalf of' can be actioned in two ways.
1. Administrator Instructions:
Login to Capture Expense
Go to Setup>People.
Click on the checkbox of the People record for the user you want to give 'Enter on behalf of' permission to.
Click Edit
Scroll down to the field 'Enter on behalf'.
Click in the box and a drop-down list of all Users will appear.
Click on the user name you want expenses to be processed for. Or, start typing their name to bring them to the top of the list.
Note: More than one user can be selected.
Save
2. User Instructions:
Login to Capture Expense
Click on your initials in the top right-hand corner of the screen.
A pop-up box will be displayed.
From Preferences; click on the Change your settings.
Scroll down to the field 'Users that can enter expenses on your behalf'
Click in the box and a drop-down list of all Users will appear.
Click on the user you want to enter expenses on your behalf. Or, start typing their name to bring them to the top of the list.
Note: More than one user can be selected.
Save
Once set up, by either method 1 or 2 above. Users who can 'Enter on behalf' of other users will have a toggle box in the top right-hand corner of the screen to allow them to switch between themselves and other users.
Expense claims can be raised and submitted.
Note: Enter on behalf of does not delegate the responsibility to Approve claims.
