How do I import bank statements?

Banking allows you to manage and view all credit card transactions across your organisation. You can import your bank statement or connect to your corporate card account via Open banking. This is useful as you can reconcile your  company's Credit Card expenses. 
 
You can create a Statement Format so that you can use it weekly or monthly instead of creating a new one every time you import a .csv statement. Once a statement is imported, the card holders will receive a notification requesting that they attach their receipts to their transactions.
 

Before you begin...

  • Ensure your bank statement is in a .csv format.


  • Ensure the Enable open banking option is not selected in Setup> Settings> Accounting.

To import a bank statement

  1. Sign in to Capture Expense.
  2. Navigate to the Transaction tab in Banking.
    Go to Banking> Transactions 


  3. Click the Import Statement button. The Statement Import side menu appears. 


  4. Upload the Statement in a .csv format.
  5. Enter a Reference name. This can be a date or the bank's name etc.
  6. Perform either of the following: 
    • Select a existing Statement Format
    • Create a new Statement Format. (See below for more information.)
  7. Click the Import Statement button. The Statement is imported into Capture Expense.

To create a new statement format

When you create a new Statement Format, you need to map the field headings in the .csv statement to the Fields within Capture Expense. Any Field elements that already match the Statement element, automatically appears. Note: Those Field elements with an asterisk are required.
  1. Navigate to the Transaction tab in Banking.
    Go to Banking> Transactions 
  2. Click the Import Statement button. The Statement Import side menu appears. 
  3. Select Create New as the Statement Format. The fields to be mapped appear.  Note: The Format Currency and Delimiter are already populated.

  4. Enter a Format Name. 
  5. Match the Fields to the Statement Column.

  6. Click the Save button. You can now select the format when importing a statement. Note: You can delete the format the Format Statement list  by clicking the Remove button.

To filter the transactions

You can filter the transactions by either of the following:
  • Reference
  • Status 
    • All
    • Incomplete
    • Submitted
    • Rejected
    • Assign User: Any transactions which have not been assigned a card holder.
  • From and To dates

Troubleshooting Statements

If you discover that you have made a mistake after importing the statement, you can delete the transactions and related expenses.
  1. Select the Statement record in the Statement tab.
  2. Click the Delete Import button. A Remove Account message appears stating: Would you like to remove {Reference} and all related transactions and expenses?
  3. Select the Also remove the Import Format, if relevant. 
  4. Click the Remove button. The Statement record is deleted (as well as the Statement Format, if selected).
