FTP / SFTP Export Integration Guide

The FTP / SFTP Export integration allows you to send exported expense files directly to your own server, rather than downloading them to your computer first. This is particularly useful if you have automated processes or accounting software that already monitors an FTP/SFTP location for incoming files. 



Important: This integration does not automatically import expenses into your accounting software. It simply delivers the export file to a location you control. 


How to Set Up the FTP / SFTP Export

  1. Go to:
    Setup → Settings → Integrations

  2. On the right-hand side, open the dropdown and select:
    FTP Export

  3. Complete the following fields using the details for your own FTP or SFTP server:

    • Description – A friendly name to help you identify this integration

    • Host – The server address (e.g. sftp.yourcompany.com)

    • Remote Directory – The folder where exported files should be placed

    • Port – Typically:

      • 22 for SFTP

      • 21 for FTP

    • Username – Your FTP/SFTP username

    • Password – Your FTP/SFTP password


Note: At present, username and password authentication only is supported. 



Using the FTP / SFTP Export

Once the integration is set up:

  1. Go to the Accounting page

  2. Start an expense export

  3. Choose your required file format

  4. Complete the export as normal

Instead of downloading the file to your computer:

  • The export file is sent directly to the configured FTP/SFTP location

If the export completes successfully, the file will be available in the remote directory you specified.



What the FTP / SFTP Export Is (and Isn’t)

What it does

  • Sends an expense export file directly to your FTP or SFTP server

  • Removes the need for users to download files locally

  • Supports automated or server-side processing workflows

What it does not do

  • It does not automatically post expenses into accounting software

  • It does not configure or manage your accounting system

  • It does not transform data beyond the chosen export format

Most accounting platforms or middleware tools will still need their own configuration to:

  • Monitor the FTP/SFTP location

  • Pick up the file

  • Import or process it into the correct destination


The FTP / SFTP Export is a delivery mechanism only. Think of it as: A way to move files from our system to yours.
